The Segmentation Gold Most GHL Users Are Missing
There is a GoHighLevel workflow that almost no one has built — and it is one of the highest-leverage automations in the entire platform.
It is not complicated. It does not require advanced workflow logic. It takes approximately five minutes to set up. And once it is live, it permanently solves one of the most common pipeline management problems in local business: knowing which leads are actually interested right now, versus which ones are still cold.
The workflow: when a lead replies to an SMS, they are automatically tagged, their pipeline stage is updated, and your team receives an internal notification — without anyone on your team doing anything manually.
If you are not tagging SMS replies in GoHighLevel, you are missing segmentation gold. Here is how to build it in 3 steps.
Why SMS Reply Detection Matters
When you are running an automated 5-touch follow-up sequence through NOLA SMS Pro and GoHighLevel, you may have dozens or hundreds of leads in various stages of that sequence at any given time. Without reply detection, you have no automated way to know which of those leads just raised their hand.
What happens without this workflow: a lead receives Touch 2 of your sequence, replies with ‘Yes, I am interested, when can we talk?’, and their reply sits in the GHL conversations tab — unnoticed for hours — while your automated sequence continues firing messages at them as if they had not responded.
That is a conversion opportunity wasted and a lead experience degraded.
What happens with reply detection: the moment that reply arrives, the lead is tagged, moved to a hot stage, the follow-up sequence is paused so they stop receiving automated messages, and your team is notified immediately to pick up the conversation.
The lead goes from a name in a pipeline to an active conversation in under 60 seconds — without anyone on your team monitoring the inbox.
If your GoHighLevel account is running SMS campaigns but does not yet have reply detection automation, you may be missing the moment when leads show real interest.

How to Build the Reply Detection Workflow in GoHighLevel
Step 1: Create the Trigger
In GoHighLevel, navigate to Automations and create a new workflow. Set the trigger type to ‘Customer Replied’ and select the specific SMS channel connected to your NOLA SMS Pro number. This trigger fires any time a contact sends a reply message to your local number — whether it is a yes, a question, or even a request for more information.
Important: Set a filter condition so the trigger only fires for replies that are NOT the STOP or HELP keywords — those should be handled by your opt-out and compliance workflow separately.
Step 2: Add the Tag and Pipeline Move
Once the trigger is configured, add the following actions in sequence:
• Add Tag: ‘SMS Reply — Hot’ — this marks the contact as an engaged lead in your CRM and allows you to filter and segment by this tag at any time
• Remove from Workflow: select your active follow-up sequence — this immediately stops any queued automated messages from firing at a lead who has already responded
• Move to Pipeline Stage: select the appropriate stage in your sales pipeline (typically ‘Contacted — Interested’ or ‘Awaiting Call’)
• Update Contact Status: set to ‘Active’ to reflect that this is now a live lead rather than a cold automation target
Step 3: Add the Internal Notification
The final action in the workflow sends an internal notification to the relevant team member — either the account owner or the assigned sales rep for that contact.
Configure the notification to include the lead’s name, their reply message, and a direct link to the GHL conversation so the team member can click directly into the exchange without searching for the record.
Optional but recommended: add a 5-minute wait step before the notification fires, then add a second notification action with a different channel (email or Slack via GHL integration) to ensure the alert is not missed.
The Full Workflow at a Glance
• Trigger: Contact replies to SMS via NOLA SMS Pro number
• Action 1: Apply tag ‘SMS Reply — Hot’
• Action 2: Remove contact from active follow-up sequence
• Action 3: Move contact to ‘Contacted — Interested’ pipeline stage
• Action 4: Update contact status to Active
• Action 5: Send internal notification to assigned team member with reply content and conversation link
Total build time: approximately 5 minutes for an experienced GHL user. Total impact: every interested lead is flagged and surfaced to your team the moment they engage — permanently, automatically, at scale.
Taking It Further: Reply Intent Segmentation
Once you have the basic reply detection workflow running, you can add a layer of intent segmentation using GHL’s conversation AI or keyword-based triggers.
For example: if a lead’s reply contains the word ‘price’ or ‘cost,’ tag them as ‘Price Inquiry.’ If it contains ‘when’ or ‘schedule,’ tag them as ‘Ready to Book.’ These additional tags allow your team to prioritize and personalize their follow-up based on where the lead is in their decision-making process.
This level of segmentation is the difference between a CRM and a truly intelligent pipeline system — and it is built entirely within GoHighLevel’s existing workflow architecture.
NOLA SMS Pro provides the SMS channel that makes the initial conversation possible. GoHighLevel’s workflow engine handles everything that happens after the reply arrives.
Turn SMS Conversations Into Organized Opportunities
Reply detection is one of the simplest but most powerful automations you can build inside GoHighLevel. When every SMS reply automatically tags, segments, and alerts your team, your pipeline becomes far easier to manage — and hot leads never sit unnoticed in the inbox.
With NOLA SMS Pro integrated into GoHighLevel, your business can automate:
- SMS follow-up sequences
- reply detection workflows
- lead segmentation
- pipeline stage movement
